How to Sort in Excel (Alphabetical, Custom, Multiple)

To sort in Excel, select your data and click Data → Sort, or use the A→Z / Z→A buttons. For a multi-level sort (e.g. sort by region, then by sales), use the Sort dialog and add levels. Here’s how each works.

Basic sort (one column)

  1. Click any cell in the column you want to sort by.
  2. Click Data → Sort A→Z (ascending) or Sort Z→A (descending).

Critical: if your data has multiple columns, make sure you select the whole range first — sorting a single column without the others scrambles your rows.

Multi-level sort

  1. Select the whole range, then Data → Sort.
  2. In the dialog, pick your first sort column (e.g. Region, A→Z).
  3. Click Add Level and pick the second (e.g. Sales, Largest to Smallest).
  4. Click OK — Excel sorts by region, then by sales within each region.

Custom sort (by color or custom list)

  1. Data → Sort.
  2. In Sort On, choose Cell Color or Font Color to sort by formatting.
  3. Or choose a Custom List (e.g. Low → Medium → High, or your own order).

Sorting numbers that are stored as text

If numbers sort like “10, 100, 2” instead of “2, 10, 100”, they are stored as text. Fix the column to real numbers: select it, click the warning indicator that appears at the top-left (or press Alt + Shift + F10), then choose Convert to Number. If that option does not appear, background error checking is off, or the data needs a different fix such as Text to Columns. Then sort again.

FAQ

How do I sort alphabetically in Excel?

Click a cell in the column, then Data → Sort A→Z. Just make sure the whole table is selected first.

How do I sort by more than one column?

Use Data → Sort → Add Level to stack sort rules — the first column sorts first, then the second within it.

Why does my sort scramble the rows?

You sorted only one column while the others stayed put. Always select the full data range (all columns) before sorting.

Can I sort by color?

Yes — in Data → Sort, set Sort On to Cell Color to order by formatting.

How do I alphabetize in Excel?

Select the whole table, click a cell in the column to sort by, then Data → Sort A→Z. That alphabetizes the column (and keeps the rows together).

How do I put a column in alphabetical order in Excel?

Click any cell in that column → Data → Sort A→Z. Select the full data range first so the other columns move with it.

How do I sort A to Z in Excel?

The Sort A→Z button (Data tab) sorts in ascending order — alphabetically for text, smallest to largest for numbers. Its twin, Z→A, sorts the other way.

Can Excel sort alphabetically automatically?

Not automatically. A Table (Insert - Table) keeps formatting and formulas consistent, but new rows are added at the bottom, not re-sorted - you still have to re-run the sort. For a view that stays sorted automatically, use the SORT function in a spare range (Microsoft 365 or Excel 2021+ only).

How do I sort without mixing up the rows?

Always select the entire table first (Ctrl+A inside the data), then sort. If only one column is selected, Excel asks whether to expand the selection — choose Expand the selection.
